Greenlandic consultancy has gained administrative overview

At Agerskov Consulting, they have moved away from heavy, manual time tracking in Excel. With Intempus, they have a better overview of people's time and absences - which is important when you are a company where administration is in focus.

Agerskov Consulting is based in Nuuk, the capital of Greenland. The company deals with property and business administration - half of their business is managing properties and owners' associations and the other half bookkeeping and payroll, which is how the company's 14 employees divide their working hours. With so much focus on administration, it was essential that the company had a time tracking system that could provide an overview and was easy to use. 

“We were looking for a new time registration programme to make it easier to keep track of the hours of our corporate customers who are invoiced on an hourly basis. So it was primarily to make this process much easier and to keep track of consumption on our fixed agreements,” says Victoria Svendsen, CEO of Agerskov Consulting.

However, the good overview of people's time and absence was also an important factor for Agerskov Consulting. With the new system, they wanted to get away from the heavy excel sheets.

Systems must be able to “talk to each other”

After a thorough research of the options for digital time tracking, the choice fell on Intempus. Victoria Svendsen first heard about Intempus through one of her carpenters, who had good experiences with the system and its ability to easily invoice with e-conomic. This prompted Victoria to take a closer look at Intempus. Today, she explains that the possibility of integration with e-conomic and the GPS tracking feature in Intempus were particularly important to Agerskov Consulting.

“A time registration programme for us should at least be able to register time by customer, by type of work or by type of absence. In addition, it had to be able to “talk to” our e-conomic system. But it was especially important for us to be able to split up the system. I have some customers who work on fixed contracts that don't need to be invoiced, and then I have some customers who work on an hourly basis that need to be invoiced.”

“Another important factor is being able to register where you are travelling. We are sometimes out checking empty homes in the properties we manage. With the GPS function, we can document that we've been there and we can see when our employees last went out to check,” explains Victoria Svendsen.

“Now I can make sure people are up to date”

Of course, the key for any organisation considering a system change is that both management and employees can navigate everything new. This was also an important factor for Victoria Svendsen - and already during the implementation of Intempus, she felt that their questions were taken care of.

“Even when we had to implement it, we found it very user-friendly - and we got a really good introduction to Intempus. In addition, the support has been with us all the way. Both in terms of getting it set up correctly, but also if we had questions along the way. That way, we were well versed in the systems ourselves before we involved our employees in it. This meant that our employees didn't feel that the change was so big. They felt that it was under control.”

The employee experience of Intempus was an important consideration for Victoria Svendsen. Fortunately, she has received very good feedback on the system:

“Our employees have really embraced it because it's so easy to register time. We've also organised it so that some employees can only see the customers they are working with. That way, they don't have a long list of things they don't need. This has made it much easier for our employees in their everyday work,” concludes Victoria Svendsen.
