At the temporary employment agency Sjællands Vikarservice, they have experienced how the transition to Intempus has removed the chaos that previously existed when submitting timesheets. A change that saves both time and frustration.

Although spreadsheets, books and calendars are not an unknown science for accountants, Anne-Marie Olsen is happy that the workflow is streamlined as she is a sole trader.

There's a lot to keep track of when between 40 and 80 temporary workers send in timesheets for the work they've done for a large number of companies. But that task has now been made easier at Sjællands Vikarservice since they started implementing Intempus in small steps in the summer of 2018.

For them, the desire to introduce a digital timesheet was based on the frustrations experienced by both bookkeepers and temporary workers when registering hours, says CEO Michael Joensen:

“Our temps started taking pictures of the timesheets and sending them in by email. The timesheets were getting messier and messier, and it was taking longer and longer for us to do payroll and invoicing.”

According to Michael Joensen, they spent an average of 25 hours a week manually entering the information from the timesheets they received into an Excel spreadsheet to organise payroll and invoicing.

The allure of flexibility

When Michael Joensen heard about Intempus and the possibilities of the system, he immediately felt that it would be a good fit for them as a company.

“There are many polished systems out there, but Intempus is easy to use. At the same time, we can have customisations made to suit us if there is something special we want” - Michael Joensen, Director at Sjællands Vikarservice

They started using Intempus in the summer of 2018, but it had taken them almost two years to get there. Michael Joensen had waited to start using it because he feared a difficult implementation.

“But it turned out to be insanely easy to get started because it's a very user-friendly system, and that has definitely been important for us. I thought we were going to spend a lot of time creating the cases, but that hasn't been the case,” he says and explains that they have only had a few challenges in getting started:

“If there was something we couldn't quite figure out, we were able to call in and be guided through things. Intempus has been extremely service-orientated and followed up on problems,” he says.

High impact for the company with digital timesheets

Michael Joensen believes that Intempus has had a major impact on the changes they see now six months later.

“The chaos that used to surround timesheets doesn't exist in the same way anymore. At the same time, we can also better rely on the timesheets we have. Every day, the temps are forced to consider when they arrived, how long they took a break and what time they stopped again. This makes it much more accurate,” says Michael Joensen.

And it's the temporary workers who have embraced the system. Temporary workers who previously didn't hand in their timesheets or register their working hours now go in every day and enter their working hours," says Michael Joensen.

“Even the temps who previously struggled with timesheets praise it. All the temps say ’wow, what a great system’. After a five-minute introduction, they were all up and running because it's so insanely easy to use,” he says.

Integration eases workflow

For Sjællands Vikarservice and Michael Joensen, the icing on the cake was that they were able to get integration to Dataløn and e-conomic included in the package.

“The possibility of integration with e-conomic and Dataløn was one of the reasons we chose Intempus. The integration with Dataløn means that payroll is now much easier to do. At the same time, the interaction between Intempus and e-conomic saves us a lot of maintenance of customers and temps compared to starting up on other platforms,” he says.

And Michael Joensen has one piece of advice for those considering implementing Intempus:

“Call Intempus and have a meeting. You'll see how it works because you get a demonstration. It makes it much more manageable, and you realise that it's not at all difficult to get started." - Michael Joensen, Director at Sjællands Vikarservice
