With a growing workforce comes a growing administrative task. Software company EkkoApp has entrusted this task to Intempus, whose automated processes make time tracking easy and efficient. Intempus manages employees' working hours, absence and payroll - freeing up time to focus on the core business.
One of the crucial features that makes life easier for EkkoApp is autoregistration.
Auto-registration ensures that employees' working hours are automatically registered. At EkkoApp, employees' normal working hours are set to 7.4 hours per day from 09:00 to 17:00, resulting in a 37-hour working week. When employees go home in the afternoon, they open their app and approve the predefined hours. If they work outside of the scheduled time, they spend just a few seconds in their Intempus app to change the time.
“Auto-registration makes sense for us because most of our employees come and go at the same time almost every day. And we are only salaried employees, so it should be so easy that you just open the app and it has registered for you,” says Henrik Jensen, CEO and founder of EkkoApp.
In other words: With auto-registration, employees hardly have to worry about registering their working hours. Intempus makes the process easy and automated.
The right hand of the administrator
Intempus not only automatically manages employee working hours. It also keeps track of employees' flex hours, holidays and illness. Auto-registration makes it easy to manage this. If an employee is sick, they register it themselves in Intempus and the working hours are replaced with sick hours. The same goes for holidays.
Overtime may be necessary during busy periods. During other periods, there is room for time off in lieu, and it is important for Henrik Jensen that employees feel that there is room for flexibility in their working day. Intempus knows in advance how many hours the employees will be working, which is why the system automatically calculates the employees' flex hours. If an employee works over their scheduled hours, Intempus automatically assigns flex hours. And if an employee takes time off, the system automatically deducts the hours from the time off account.
“It's magical if you choose to take time off - it happens all by itself!” says Henrik Jensen enthusiastically.
Intempus therefore takes a large administrative burden off Henrik Jensen's shoulders, and the system frees up mental energy in everyday life.
“It is completely registered in Intempus,” says Henrik Jensen, and continues:
“There are so many integration options for payroll and project management, and it's made a huge difference in terms of the mental aspect, where you constantly have to remember. You don't have to do that now,” he says.
The automated processes save him a lot of time and serve as an important support in handling the administrative task. And all data on employee working hours, absence and illness can easily be sent to EkkoApp's payroll system.
“Having it automated saves time, it gives me peace of mind and things are done right. I don't need to have a little bookkeeping degree. Instead, I have a piece of software that I can lean on, that knows all the rules and does it right,” says Henrik Jensen.
From fingertip sensations to a real overview
When you ask Henrik Jensen what need Intempus fulfils for EkkoApp, the answer is clear:
“Intempus provides a clear overview of the time spent on projects, but also the overview for employees,” he says.
However, it wasn't always like this.
“We have previously had this elastic solution, where we said “it will all work out in the end”,” says Henrik Jensen.
Previously, EkkoApp had no official guidelines for how employees should register their time and keep track of flex hours, holidays and illness. This meant, for example, that during extra busy periods with extra tasks, employees were asked to record overtime and time off in an Excel spreadsheet. Some used the spreadsheet, others wrote in a notepad, and still others used the most readily available tool - their memory. There was a tendency for the hours to be measured by instinct. Juggling Excel spreadsheets, notepads and memories risked losing the recorded hours for both the employees and Henrik Jensen. Intempus now handles this data instead.
“Suddenly we have a completely different overview,” says Henrik Jensen. And when employees come and ask him whether they have one or three days of holiday left for the next holiday and how many flex hours they can use tomorrow, he can now answer:
“Look in your Intempus app!”
Why Intempus?
Henrik Jensen explains that Intempus was chosen as the time tracking system because of its user-friendliness. As a software supplier, he knows from experience that a good user experience ensures user retention.
“When you develop software yourself, I think you get a work injury that means that when you look at other pieces of software, you quickly realise, is this cool to use, is it easy, is it intuitive? And that was it,” says Henrik Jensen about Intempus, and continues:
“If it's easy, intuitive, employees will get it done, and if it's a little bit of a hassle, they find it annoying. So it was the ease of use that ultimately made us choose Intempus,” he says.
