What is digital time tracking and why is it important?
Time tracking is the way a company documents employee working hours, including arrival/departure times, breaks, overtime, driving and absence. Proper time tracking is the basis for correct payroll, invoicing and ensures compliance with working time regulations and legal requirements in Denmark.
How does digital time tracking work in practice?
With digital time tracking, employees can enter their hours in the app, on the web or via terminal. Administrators get a complete overview, approve registrations and can subsequently export data for payroll or invoicing.
Is it possible to register absence and overtime automatically?
Benefits. Intempus supports absence registration (holiday, sickness, time off) and can be set up with overtime rules to automatically handle deviations and legal requirements.
Can Intempus time tracking integrate with payroll systems?
Pros. Intempus can be integrated with payroll systems such as Visma Løn, DataLøn, ProLøn, Danløn, Lessor and e-conomic. This makes it possible to transfer approved hours, holidays, mileage, expenses etc. from Intempus directly to the payroll run.
What is the legal requirement for recording working hours in Denmark?
According to current Danish legislation, all employers must provide a system where employees can register their daily and weekly working hours. The system must be objective, reliable and accessible and store data for at least 5 years. Failure to record time can result in fines for the employer.
Who should register their working hours?
As a general rule, all employees must register their working hours. Exceptions may apply to “self-organisers” and managerial staff, where time tracking is not required by law.
Who is exempt from the Working Time Recording Act?
Only a few employees are exempt from time tracking in Denmark, including management staff and “self-organisers”. Employees with special collective agreements may also be exempt. The exemption means that their employers are not required by law to be able to document that they comply with working time regulations.
Can a time tracking system handle our collective agreement?
Yes, we can handle that at Intempus. We can set up overtime rules according to one or more collective agreements, so you automatically comply with the collective agreement rules for all types of employees without worry.
Can you plan working hours and shifts for employees in a time tracking system?
It varies from system to system. In Intempus, administrators can easily plan working hours and holidays for employees.
For planned work or holidays, the activity will be available as a suggestion for a report for the employees in the app. From here, all it takes is a single swipe, and the report is done.
However, employees cannot schedule or swap their shifts themselves.
Does Intempus integrate with e-conomic?
Yes, we have a strong two-way integration that automatically allows data to flow between the two systems. This means that if a new customer is created in e-conomic, the customer is also automatically created in Intempus. Or if reports are approved in Intempus, they can be automatically transferred to the relevant project in e-conomic and are ready for invoicing.
What rules apply to working hours?
In Denmark, working hours are regulated by the Working Hours Act and collective agreements, which set maximum working hours, breaks and rest periods. Normal working hours are typically 37 hours per week, and overtime must be voluntary and documented. The rules ensure employee health, safety and correct payment of wages.
Can I record time offline?
Yes, with the Intempus app, employees can record hours directly on their mobile, even without an internet connection, and data is automatically synchronised when there is a network.
How do I get an overview of holiday balances, flexitime and illness?
Intempus brings all data together in an intuitive web interface where administrators get a complete overview of holiday balances, flex time, sickness and other personal registrations.
How many hours of overtime are allowed?
As a general rule, you can work a maximum of 48 hours per week including overtime, measured over a 4-month period. Overtime must be voluntary and the employer must ensure statutory breaks and rest.
Is driving part of working hours?
Work-related mileage should generally be counted in the working time registration. Employees are entitled to a mileage allowance if they drive more than 24 kilometres to and from work (minimum 12 km each way), and it can be given for all types of paid work. If the employee drives their own car for business purposes, you as an employer can choose to pay them a tax-free mileage allowance.
