Hasseris Boligselskab has experienced how much difference a flexible system can make. They have truly gained an overview of agreements, overtime and time consumption.

35 employees on four different collective agreements. That is the reality at Hasseris Boligselskab in Aalborg. And precisely for this reason, in early 2018, they sought a system that could make it easier for them to ensure that everything was handled in accordance with each employee's individual collective agreement. 

The solution was Intempus’ system, which Hasseris Boligselskab implemented in April 2018. The handling of collective agreements was precisely one of the biggest requirements when they began to research the market for digital time registration systems. 

“The system's ability to account for collective agreements has been more or less crucial for us. Overtime is a huge factor for our employees, so it's important that the system can handle the collective agreement, so that employees feel they are getting what they are entitled to and are not being short-changed,” says Christina Lyneborg Linnemann, accounting assistant at Hasseris Boligselskab. 

It was precisely the flexibility that led to the choice of Intempus. 

“For us, it was about usability. That everyone could figure out the system, and that it could simultaneously handle many different needs and many different types of absence. Intempus was more flexible than the other systems we looked at. Intempus was the only system where I got the feeling that it could handle all the needs we had,” says Christina Lyneborg Linnemann, Accounting Assistant at Hasseris Boligselskab.

A changed focus on responsibilitywith increased overview

One of the things Christina Lyneborg Linnemann and Hasseris Boligselskab hoped Intempus could solve was the enormously heavy, manual workflow they previously had because they collected all data on employees' work in Excel spreadsheets. 

At the same time, Christina Lyneborg Linnemann found it difficult with the old system to document whether it was the employees' registrations or her own entries that were responsible for errors on the payslip. 

“This has created a changed focus of responsibility. If there are errors on the payslip now, it's due to the employees” own input. This helps them take more responsibility for their own absence and ensure that the correct information is registered," says Christina Lyneborg Linnemann. 

At the same time, the use of Intempus helps to provide a better overview of time consumption – to the benefit of both the administration and the employees themselves. 

“The employee can then see that, for example, they have helped five residents during the day. This provides an overview for the employee, but also a feeling that they are achieving something during their workday,” she says.

Option for statistics

Also at the office, the use of Intempus provides opportunities that they did not have previously. The flexibility of Intempus allows them to decide for themselves which and how many different types of tasks employees should be able to register. 

“It gives us a unique opportunity to be able to collect statistics on how many hours are spent on the individual task types and in the individual departments. We have acquired a tool to assess what we spend our time on. Before, it was an estimate,” says Christina Lyneborg Linnemann, continuing:

“At the same time, it functions as a safeguard for them. The records in Intempus can be used as documentation when dealing with the various departments if they believe that not enough time is being spent on them.”

And the switch to Intempus has meant time savings every month for Christina Lyneborg Linnemann. 

“It now only takes me half a day to do payroll instead of a full day's work like it did before. I can get what I need directly from Intempus without having to rummage through 50 different Excel spreadsheets,” – Christina Lyneborg Linnemann, Accounting Assistant at Hasseris Boligselskab.

At Hasseris Housing Association, both management and employees are pleased with the use of Intempus and the opportunities it brings. 

They have been given a tool to ensure that everything complies with the various collective agreements, and which at the same time provides an overview for management and employees. 

Christina Lyneborg Linnemann also believes that one should be aware of one's needs before implementing a new system. 

“One must know what one intends to use the system for and what one wants to get out of it. For example, what statistics one wants to use afterwards. And then one must be sharp in one's agreements. It is easiest to get it right from the start,” she concludes.
