What if your working hours were recorded automatically? At landscaping company Tolstrup A/S, this is the reality for their 20 salaried employees. Scheduled working hours are automatically registered and employees only need to note absence or overtime. The new overview of working hours, absences and overtime complies with the Time Registration Act - and helps ensure well-being.

With self-registration, Tolstrup A/S is fully compliant with time registration act for their salaried employees. The working hours are automatically registered based on a planned standard time. This means that time tracking in itself does not take up much space in the daily lives of salaried employees.

“It's not something we spend a lot of time thinking about on a daily basis, because it works as it should. It's really nice that it can free up some resources so we can focus on something else,” says Anette Andersen, HR Manager at Tolstrup A/S.

Self-registration ensures well-being

The implementation of auto-registration has had positive side effects that go beyond the time registrations themselves. It is a tool that helps ensure the important balance between work and private life at Tolstrup A/S, says Anette Andersen. With auto-registration, it is now easy for the administration to have an overview of employees' holidays. When a holiday day is registered, the planned work is offset.

“It was a bit of a “lala” before, but now we have a clear vision,” says Anette Andersen and continues:

“We can keep track of the 25 holiday days you're entitled to. Do you use them, or do you not use them at all? That's something we need to talk about, because we really want our employees to take their holidays so that they also have energy for work. So that's something we're happy about,” she says.

A valuable management tool for preventing overtime

Auto-enrolment is a valuable tool for management to ensure employee compliance The 48-hour rule. This functionality helps to visualise if an employee is working too much.

“It's a management tool that we're really happy with now; we can make adjustments and help employees reduce their workload if we can see that someone is working much harder than the others,” says Anette Andersen.

This gives management a better understanding of the workflow of salaried employees. They can now see during which periods the workload peaks and when it slows down. It also means that there is now more transparency between employees and management about salaried employees' working hours. But it's important for management that self-registration is not perceived as a control mechanism - quite the opposite.

“It should be a help and an extra tool to ensure that wellbeing is as it should be,” explains Anette Andersen.

Easy and user-friendly time tracking compliance

Over the course of 10 years, Tolstrup A/S has grown rapidly. The landscaping company now has 150 employees in total, specialising in grounds maintenance services. They are still a growing company, and the purchase and implementation of a new system needed to grow with the business, explains Anette Andersen. Therefore, user-friendliness was a crucial element when they chose Intempus in 2019 for their hourly employees. 

“We're happy that it just works on an app, so it's on the phone. And you usually have your phone in your hand many times during the day, so it's just a matter of clicking in,” says Anette Andersen about how easy it is now also for salaried employees to register their time. And their workflows? They are largely unchanged.

Before Tolstrup A/S implemented self-registration, the salaried employees worked with trust and freedom, says Anette Andersen. This is still very much the case after the implementation of autoregistration.

“In reality, not much has changed for the salaried employees out there,” says Annette Andersen about the workflows following the implementation of autoregistration.

And that's the whole point of auto-registration: hours are registered automatically and seamlessly.
