Digital transformation led to greater efficiency for service company

TRASBO is one of the oldest service companies in the country specialising in facility services, commercial cleaning, window cleaning, carpet cleaning, private cleaning and laundry and dry cleaning services.

With more than 50 years of experience, TRASBO is one of the oldest service companies in the country. But as they became a more modern company and grew to over 100 employees, their need for a system that could help them keep track of working hours, allowances and absences and various collective agreements also increased. For this, they chose Intempus with integration to Business Central and Danløn.

Founded in 1970, the service company TRASBO specialises in facility services, commercial cleaning, window cleaning, carpet cleaning, private cleaning and laundry and dry cleaning services. Until 2022, the planning and time registration of the more than 100 employees was much more manual. Christina Søs Guldhammer, Deputy Director at TRASBO, explains: 

“Before I started in July 2022, time tracking and shift planning was more manual. We had to register a lot of information in several different places, we spent a lot of time on internal coordination and lacked a comprehensive overview.” 

Christina joined TRASBO as a project manager in July 2022 to lead a digital transformation at the company. When she researched the market for systems that could facilitate time tracking and planning of working hours, there were several needs that had to be met. TRASBO's employees are employed on different collective labour agreements with many different supplements - such as evening supplements, night supplements and overtime supplements - and it was therefore crucial to find a solution that could handle these.

Flexible solution with app and terminal 

Intempus was chosen, especially because the user interface is so simple, modern and easily accessible, Christina explains. "But also because it was possible to manage their various collective agreements and supplements in the system. Today, they have a flexible solution with 2 accounts, where 30 of the employees register time and absence via a physical terminal located at their laundry, where they have their regular workflow. The remaining employees who drive out to customers and solve service tasks here register via the Intempus app. In this way, different parts of the system fulfil different needs. According to Christina, the transition to both the app and Terminal has been almost seamless for the employees: 

“It has been surprisingly easy for our employees to get used to Intempus. The app is very intuitive and there has been almost no doubt about how it works. Those who use the terminal also have the app installed, so they can keep track of how many hours they have actually worked.”

From an administrative perspective, the system has contributed to a better overview of, for example, absenteeism in the organisation: 

“Because everything is registered in one system, it's easy for us to get an overview of sick leave, holidays, etc. We can get a status on a number of different parameters much faster.

More working days saved every month 

Once employees have registered their workday in Intempus, the data is automatically sent to the administrators for approval and then synchronised with their payroll system, Danløn. This automatic exchange of data has saved TRASBO's administrative department a lot of typing and up to several working days a month, Christina explains: 

“In terms of payroll, we have saved several days a month because we avoid all that typing.”. 

In addition, Intempus has provided greater transparency about how many hours the different employees have worked and on which projects. They also use this as a basis for invoicing customers.

And the invoicing process has also been streamlined with the integration between Intempus and the ERP system Business Central. Customer and project data is automatically transferred from Business Central to Intempus, so it only needs to be created once. Changes are even synchronised as well. But it works both ways," says Christina:

”The hours of work performed come back from Intempus to Business Central - and you can even work with the future planned activities, analysing capacity and calculating financial forecasts.”.

Should questions or new requests arise for the system, Christina has always been able to reach an Intempus support employee: 

“Support is always available and I find that they always respond quickly and follow up on things. For example, if they need to check if any of our requests can be met, they always get back to us,” Christina concludes.
