With a growing workforce comes an increasing administrative workload. That task has been handed over to Intempus by the software company EkkoApp, which, through automated processes, makes time tracking both simple and efficient. Intempus manages employees’ working hours, absence, and payroll – freeing up time to focus on the company’s core business.

One of the most crucial features that makes everyday life easier for EkkoApp is auto registration.

Auto registration ensures that employees’ working hours are logged automatically. At EkkoApp, the standard hours are set to 7.4 hours per day from 9:00 AM to 5:00 PM, resulting in a 37-hour work week. When employees leave in the afternoon, they simply open the app and approve the predefined hours. If they work outside the scheduled hours, it only takes a few seconds in the Intempus app to adjust the time.

The Administrator’s Right Hand

Intempus does not just automatically handle employees’ working hours. The system also keeps track of flex time, vacation, and sick leave. Auto registration makes this easy to manage. If an employee is sick, they log it themselves in Intempus, and their working hours are replaced with sick leave hours. The same applies for vacation.

Overtime is sometimes necessary during busy periods. In other periods, there is room for time off in lieu – and it is important for Henrik Jensen that employees feel there is room for flexibility in their daily work. Intempus already knows how many hours employees are supposed to work, and the system automatically calculates flex time. If an employee works more than planned, Intempus adds flex hours automatically. If they take time off in lieu, the system deducts the hours automatically from their flex account.

“It’s pure magic when you choose to take time off – it just happens by itself!” says Henrik Jensen enthusiastically.

Intempus thus relieves a huge administrative burden from Henrik Jensen’s shoulders, freeing up mental energy in everyday life.

“It’s all fully recorded in Intempus,” Henrik Jensen explains, continuing:

“There are so many options for integration with payroll and project management, and it has made a huge difference mentally – you no longer have to walk around remembering things. That’s not necessary anymore,” he says.

The automated processes save him a lot of time and serve as crucial support in handling administrative tasks. And all data on employees’ working hours, absence, and sick leave can be easily transferred into EkkoApp’s payroll system.

“Having it automated saves time, gives me peace of mind, and ensures things are done correctly. I don’t need a bookkeeping degree. Instead, I have a piece of software I can rely on, that knows all the rules, and that gets it right,” says Henrik Jensen.

From Gut Feeling to Real Overview

When asked what need Intempus fulfills for EkkoApp, Henrik Jensen’s answer is clear:

“Intempus gives the overall overview of time spent on projects, but also of the employees themselves,” he says.

But this has not always been the case.

“We used to have this elastic solution where we’d just say, ‘it’ll all balance out in the end’,’” Henrik Jensen explains.

Previously, EkkoApp had no official guidelines for how employees should log their hours and keep track of flex time, vacation, and sick leave. For example, during especially busy periods, employees were asked to log overtime and compensatory time off in an Excel sheet. Some used the sheet, while others wrote in a notebook – and others again relied on the nearest available tool: their memory. Hours were often recorded based on gut feeling. Juggling Excel sheets, notebooks, and memories created a risk that hours would get lost – both for the employees and for Henrik Jensen. Intempus now handles this data instead.

“Suddenly, we have a completely different overview,” says Henrik Jensen. And when employees now ask whether they have one or three vacation days left before their next holiday, or how many flex hours they can use tomorrow, he can answer:

Why Intempus?

Henrik Jensen explains that the choice of time tracking system fell on Intempus because of its user-friendliness. As a software provider himself, he knows from experience that a good user experience ensures user adoption.

“When you develop software yourself, I think you develop this occupational hazard where, when you look at other software, you can instantly see if it’s enjoyable to use, if it’s easy, if it’s intuitive. And Intempus just was,” Henrik Jensen says, adding:

“If it’s easy and intuitive, then employees will actually do it. But if it’s even slightly cumbersome, they’ll find it annoying. So it was really the user-friendliness that made us choose Intempus in the end,” he concludes.
