What if your working hours were recorded automatically? At the landscaping company Tolstrup A/S, this is already a reality for their 20 salaried employees. Planned working hours are recorded automatically, and employees only need to note absences or overtime. The new overview of working hours, absences, and overtime complies with the Working Time Registration Act – and helps support employee wellbeing.
With auto registration, Tolstrup A/S is fully compliant with the time registration law for their office staff. Working hours are recorded automatically based on a planned standard schedule, meaning that time registration itself no longer takes up time in their daily routines.
“It is not something we have to think much about on a daily basis, because it just works as it should. It is really nice that it frees up some resources so we can focus on other things,” says Anette Andersen, HR Manager at Tolstrup A/S.
Auto Registration Supports Wellbeing
The implementation of auto registration has had positive side effects that go beyond time tracking itself. According to Anette Andersen, it has become a tool that helps ensure the important work-life balance at Tolstrup A/S. With auto registration, the administration now easily maintains an overview of employees’ vacation days – when a vacation day is registered, the planned work time is automatically balanced.
“It used to be a bit of a ‘lala’ system before, but now we have full visibility,” says Anette Andersen, continuing:
“We can keep track of the 25 vacation days employees are entitled to by law – are they using them or not? If not, that is something we need to talk about, because we really want our employees to take their vacations so they have energy for work. So that is something we are very happy about,” she says.
A valuable Management Tool to Prevent Overtime
Auto registration is also a valuable tool for management to ensure compliance with the 48-hour rule. This functionality makes it easy to spot if someone is working too much.
“It is a management tool we are really happy with; we can step in and help employees reduce their workload if we can see that some are working much more than others,” says Anette Andersen.
This gives management a better understanding of employees’ work patterns. They can now identify when workloads peak and when they slow down. This transparency also fosters openness between employees and management about working hours. However, it’s important for the management that auto registration is not perceived as a control mechanism – quite the opposite.
“It is meant as a support – an extra tool to ensure that wellbeing is as it should be,” explains Anette Andersen.
Easy and User-Friendly Compliance With the Working Time Directive
Over the past 10 years, Tolstrup A/S has grown rapidly. The landscaping company now employs 150 people specializing in grounds maintenance and continues to expand. When selecting a new system, scalability was key, Anette Andersen explains. That is why user-friendliness was a decisive factor when they chose Intempus in 2019 for their hourly-paid workers.
“We are happy that it just works through an app on the phone. And since you usually have your phone in your hand many times a day, it is easy to just click in,” says Anette Andersen about how simple it is for the office staff to register their time.
And their workflows? They remain almost unchanged.
Before implementing auto registration, Tolstrup A/S’s office staff worked with trust and flexibility, says Anette Andersen – and they still do after the implementation.
“In reality, not much has changed for the office staff,” she says about the work routines after introducing auto registration.
And that is the whole point of auto registration: working hours are recorded automatically and completely seamlessly.
