Lind & Risør employs 220 craftsmen who need to be paid on time every two weeks. Previously, processing their timesheets could take up to nine hours. With the introduction of Intempus, the company has halved the time spent on payroll, making the process far less stressful.
For many years, Lind & Risør relied on physical, paper-based timesheets to keep track of their craftsmen’s working hours and absences. Every two weeks, the craftsmen submitted their timesheets, and every two weeks, bookkeeper Dorthe Jaes spent up to nine hours deciphering handwritten notes from site barracks and manually entering hours, vacation, and sick leave into Lind & Risør’s accounting system. On top of that, the hours had to be allocated to the correct construction project to ensure accurate accounting for each case.
“I was very busy every two weeks. Mondays and Tuesdays I hardly answered the phone, and I needed to shut myself off completely, because I had to get it done – payroll had to be processed,” recalls Dorthe Jaes.
The craftsmen’s hours had to pass through several layers before salaries could be paid, which left plenty of room for errors. If the hours didn’t add up, there was only one way to find the mistake: flipping through the stack of timesheets from all 220 employees.
“It was very manual,” says Dorthe Jaes.
Lind & Risør wanted to simplify the payroll process by cutting out a step and saving time. This launched the search for a digital time tracking system.
Why Intempus?
The new system had to be, above all, easy for the craftsmen to use on the construction sites. It also needed to handle different employment terms, projects, cases, absences, and vacations – while integrating with the Navision project system.
“And it had to be easy for me as an administrator,” adds Dorthe Jaes.
She finds the Intempus administration interface both clear and simple to use. Features like search and filtering make it easy to get a quick overview of the craftsmen’s hours for the past two weeks.
“You can quickly sort the columns and information you need for payroll, and once that’s done, it’s just a matter of scrolling down the page,” she explains.
“And if something is wrong, it’s easy to trace. If someone logs their hours to the wrong project, I spot it right away. Then I can quickly check and call them to say, ‘Hey, on March 15 you logged hours on this project – is that correct?’” says Dorthe Jaes.
Fewer Errors and Less Stress with Intempus
Since introducing Intempus, Dorthe Jaes experiences far fewer errors in the craftsmen’s reported hours. Time registrations at Lind & Risør are now more accurate than with the old paper-based timesheets.
By making Intempus a part of their internal time tracking process, the company has cut payroll preparation time in half. Dorthe no longer has to isolate herself every second Monday and Tuesday to get the job done. Instead, she can continuously check the craftsmen’s entries and resolve issues as they arise.
“And that has just made it less stressful, because I have more time on the actual day I process payroll,” says Dorthe Jaes.
